UGC tracker

Track every UGC deal from pitch to paid.

UGC tracking, for a creator, means always knowing where each brand deal stands: what you agreed, what you owe the brand, what the brand owes you, and by when. UGC Planner is a UGC tracker app for iPhone and Android. Each deal moves through 15 stages, from Outreach sent to Paid, with its deliverables, deadline, product shipment and payment on one screen.

What does a UGC tracker keep track of?

Everything that happens after a brand says yes. Each deal in UGC Planner holds:

  • The brand and the collab type: Paid, Gifted, Gift Card, Affiliate or PR, inbound or outbound.
  • Deliverables with format, quantity and price, a delivered checkbox each, and the total added up.
  • Usage rights per deliverable: duration, channels, fee, exclusivity and whitelisting.
  • The product shipment: tracking number and expected delivery date.
  • The brief, revision notes, the deadline and how you get paid.

What are the stages of a UGC deal?

Tap the stage on a deal to move it. These are the 15 stages, in the order the app lists them. Gifted, Gift Card and PR deals skip Awaiting payment and finish at Done instead of Paid.

Deadlines

How do I keep track of UGC deadlines?

Every deal's deadline appears in the calendar next to your shoots and meetings. You get a notification a week before, two days before and on the day, at 9 am. The Today screen starts with what is due today and what arrives today.

  • Worth a glance on Today points at what needs a nudge: a deadline that passed, a deal with no movement for a week, a brand that hasn't reviewed or hasn't paid.
  • Approved deals get a button to mark them paid.
Product shipping

How do I track the product a brand ships me?

When a deal reaches Product shipping, add the tracking number and the expected delivery date. The number stays on the deal, and Track package looks it up in one tap. The arrival date shows on Today and in the calendar, and Mark as received moves the deal to Got product.

After you send

Can I see when a brand opens my files?

Yes. Send videos, photos and documents to the brand in one link, and UGC Planner logs every open, play and download with the time it happened, and notifies you. You choose whether the brand can download. See content delivery.

Getting paid

How do I track what brands owe me?

Awaiting Pay on the Today screen counts every approved, posted and awaiting-payment deal. When a paid deal reaches Approved, UGC Planner offers to create the invoice from it. Mark it paid and the money lands in Money, next to your monthly goal. See invoices.

A UGC tracker app or a spreadsheet template?

A spreadsheet or a Notion template works when you have a few deals. The difference shows when deals overlap.

Common questions

What is UGC tracking?

For a UGC creator, UGC tracking means keeping each brand deal's terms, deliverables, deadlines, product shipments and payments in one place, so nothing slips. Brands also use the term for measuring how UGC performs; UGC Planner is built for the creator's side.

Is UGC Planner a UGC tracking tool for brands?

No. UGC Planner is for creators: it tracks the deals you take on, the files you deliver and the money you are owed. It does not measure ad performance or collect content from customers.

Can I track gifted, affiliate and PR collabs?

Yes. Every deal has a collab type: Paid, Gifted, Gift Card, Affiliate or PR. Each can carry deliverables, a deadline and the product shipment.

Does UGC Planner track packages automatically?

It keeps the tracking number and the expected delivery date on the deal, and Track package looks the number up in one tap. It does not connect to carriers, so you mark the product as received yourself.

Is there a free UGC tracker template?

A spreadsheet or a Notion template can work while you have a few deals. UGC Planner is an app with stages, reminders, file delivery and invoices built in, and eligible new subscribers get a 14-day free trial.

Does it work on Android?

Yes. UGC Planner is on iPhone and Android, with the same features on both.
